§ 12272 Secretary Of State Records Program

Key Takeaways

  • •The Secretary of State must create a program to manage state records in a smart and cost-effective way.
  • •This program includes rules on how to create, use, keep, and throw away state records.
  • •The Secretary of State must set standards for managing records and get reports from agencies every two years.
  • •The Secretary of State must also report to the Department of Finance every two years on how well the state is following these rules.

Example

A state agency has old papers and files piled up in a storage room that haven't been used in years.

The Secretary of State's program would have rules on how long to keep these papers and when it's okay to throw them away. The agency would need to follow these rules and report to the Secretary of State every two years about what they did with the old papers.
